Purchases & suppliers

Purchase entry that does not eat your evening

Purchase entry is where most shops give up on software. Fifty lines, a supplier who uses his own item names, and a rate that changed since last month. Cartix attacks all three: it remembers each supplier’s usual basket, it reads their invoice, and it lets you start the entry from the wholesale market itself.

The 80% case, collapsed

  • Pick a supplier and Cartix prefills their most recent basket at last rates
  • Most weekly entries become “adjust two quantities and save”
  • Carton and pack handling on the line
  • Free quantity, schemes and discounts per line

AI bill scan

  • Photograph the supplier invoice — lines, rates, quantities and tax read automatically
  • Three-stage product matching: exact, learned, then fuzzy
  • The mapping is remembered — the same supplier’s “MAGGI NDL 70G” links itself next time
  • Nothing posts until you review and approve the parsed lines
  • Part of Cartix Watch — subscribe and it works, with no key to plug in and no usage bill of your own

Purchases from your phone

  • Start a purchase draft on your phone — from the wholesale market itself
  • Staff optionally verify and receive the goods
  • The desktop executes the draft through the same tested engine: new suppliers, new products, barcodes and price updates all created properly

Prices flow to the shelf

  • Capture new sale, wholesale and MRP prices per line as stock arrives
  • Changed items go straight to the label print queue
  • Landing cost reflected in margin reports

Supplier ledger & payables

  • Bill-wise pending, statements and payment history
  • Payments by cash, bank, UPI, cheque and more — seven methods
  • Supplier dues aging, purchase void with permissions
  • Purchase GST report for input credit reconciliation

Questions people ask

How accurate is the AI bill scanning?

Accurate enough to save most of the typing, not accurate enough to be trusted blindly — which is why nothing posts until you approve the parsed lines. Printed invoices read well; handwritten ones are hit and miss. It also learns: once you map a supplier’s item name to your product, that mapping applies automatically next time.

What do I need for the AI scan to work?

A Cartix Watch subscription, and an internet connection at the moment you scan. There is no API key to obtain, no credits to top up and no separate usage bill — the subscription covers it. Everything else in the purchase module works without Watch.

Can I enter stock while I am still at the wholesale shop?

Yes. Open the owner portal on your phone, enter the purchase as a draft — even scanning barcodes with the phone camera — and the shop desktop executes it when you are back, creating any new products and updating prices exactly as a manual entry would.
