How to choose billing software for your shop (without regretting it in six months)

Almost every billing software demo looks good. The salesperson types slowly, the products are clean, the internet works, and there is no queue. Your shop is none of those things. Here is what to check instead.
1. Watch it fail on purpose
Ask the person demonstrating to unplug the internet, mid-bill, and keep billing. This one test separates two entirely different architectures. Software that stores your data on its own server needs the connection to do almost anything; software that stores data locally does not care.
For a retail counter, an internet outage can turn into a queue of waiting customers. Test what still works without internet, and ask separately about power backup and the main-hub requirements of any connected counters.
2. Time a ten-line bill yourself
Do not let them do it. Sit at the keyboard, scan ten items, add a customer, and save. Count the seconds and count how many times your hand left the keyboard for the mouse.
A shop doing three hundred bills a day at fifteen seconds each spends about seventy-five minutes billing. At forty seconds each it spends over three hours. That difference is a staff member.
3. Ask what happens to the items with no barcode
Every Indian shop has them — loose vegetables, sweets by weight, the local brand nobody prints a code for. If the answer involves searching a dropdown with a mouse, your counter will slow to a crawl on exactly the items that sell most.
- Can staff search by a partial product name, fast?
- Are there one-tap tiles for the top thirty items?
- Can the shop edit those tiles without calling support?
- Does the weighing machine barcode scan like a normal item?
4. Check who can see your margins
A surprising number of shops never let staff use their software, because giving someone the login means giving them the purchase rates, the profit report and the customer balances. Ask specifically: can a billing user be blocked from seeing cost price?
If the answer is "we can hide the menu", that is not a permission, that is a curtain. Ask whether the data itself is restricted.
5. Ask about the credit ledger before you ask about anything clever
If a meaningful share of your sales is on udhaar, the credit ledger is the feature that decides whether the software gets used. It needs to show the balance while billing, warn at a limit, age the pending by month, and produce a statement you can send without arguing.
6. Find out what leaving costs
Ask, before buying: if I stop paying, can I still open my data? Can I export my products, customers and bills to Excel? Where is the backup file and can I copy it myself?
You are not being pessimistic. You are checking whether the vendor has built a product or a hostage situation.
7. Check that support hours match your shop
